What Notion is and who it's right for

Notion is one of the best internal documentation tools ever made. It describes itself as the AI workspace where teams think together, and that is a fair description: docs, wikis, databases and projects in one place, with an editor people actually enjoy using. For company knowledge, onboarding, process docs and drafting, it is excellent, and a lot of support teams write their help articles in Notion before those articles go anywhere else.

Notion Sites is real too. Any page you build can be turned into a public site, and for a simple docs page or a changelog that is often enough. The friction shows up when the page you are publishing is a help center, because a help center is not one page. It is a structured, searchable, indexable surface that customers land on from Google at their least patient moment, and Notion Sites is a website builder attached to a docs tool rather than a product built for that job.

The gap

What a help center needs that Notion Sites doesn't have

None of these are things Notion did wrong. They are things a general workspace tool was never built to do.

Information architecture

Categories, subcategories and a help-center home layout that customers can scan. In Notion you build navigation out of pages and databases yourself, then maintain it by hand as the content grows.

Article states

Draft, published and private are the everyday states of a support library. Notion publishing is a binary toggle on a page, so "written but not ready" and "internal only" have to be managed by convention.

Search built for readers

A customer searching your help center is trying to finish a task. Notion Sites offers generic site search as part of its paid navigation bar, not a knowledge-base search tuned to surface the right article.

SEO you can steer

Notion gives you an editable link title and description plus a switch that makes a page discoverable on the web. A help center that competes in search wants per-article metadata, a sitemap and structured data as well.

A widget inside your product

The highest-value moment for help is inside the app, at the point of confusion. Notion Sites produces a standalone website, so there is nothing to embed in your product.

Support-team feedback loop

Which articles resolved the question, which searches came back empty, what to write next. Notion reports page views, which tells you traffic but not whether anyone was actually helped.

Where HelpCenter.io wins

Own the public surface, keep the drafting

A help center that looks like your product

Themes and layouts built for support content, on your own domain with SSL, on every plan including the $29 Bootstrap plan. No Notion branding to pay extra to remove, and no per-domain line on your bill.

AI that answers your customers, not just your writers

Notion AI is aimed at the people editing the docs. HelpCenter.io answers visitor questions in natural language from your published articles. AI Question Answering is included on Catalyst and available as a $29/month add-on on Bootstrap and Growth, and the AI Widget ships on every plan.

Flat pricing that ignores your headcount

Notion bills per member, every month, and your whole company probably sits in it. HelpCenter.io is flat per workspace at $29, $119 or $179, whether three people or thirty maintain the help center. Catalyst includes unlimited team members.

A short move, not a rebuild

Notion exports Markdown and HTML on every plan, which makes this one of the easiest migrations we do. On Growth and Catalyst our team rebuilds the structure, articles and images for you for free. See free migration.

The honest read

Keep Notion. It is very good at its job

For internal documentation, drafting and team collaboration, Notion is excellent and we do not try to compete for it. Keep writing there. The narrow claim we make is that the moment your docs are meant for customers rather than colleagues, the requirements change.

Pricing

Flat per workspace vs per member

Our price is a function of which plan you pick. Notion's is a function of how many people are in the workspace.

Plan tier
HelpCenter.io
flat / workspace
Notion
per member / month
Entry Bootstrap, $29/mo Free, with basic sites
Mid Growth, $119/mo (AI add-on eligible) Plus, per member (custom sites)
Top Catalyst, $179/mo (AI included, unlimited team) Business, per member, then Enterprise on request

Two costs are easy to miss when you price Notion as a help center. A custom domain is billed per domain on top of your seats, and heavier AI use is metered by credits. Neither is unreasonable for a workspace tool. Both are worth putting in the spreadsheet before you decide where the public help center should live.

Migration

Moving your Notion docs across

This is one of the lower-friction migrations we handle, because Notion exports cleanly. Export your pages as Markdown or HTML, which is available on every Notion plan, and send them over. On Growth and Catalyst we rebuild the structure, articles and images in your branded help center for free, typically live in under a week. If your team prefers to keep drafting in Notion afterwards, that is fine. Only the public surface needs to move.

Other options worth considering

If HelpCenter.io isn't the fit, it depends on the job you are hiring the tool for. Confluence is the heavier internal-docs option for larger engineering organisations, Document360 leans enterprise documentation with approval workflows and API docs, and Slite is a lighter internal knowledge base. FAQ

Frequently asked questions

Can you use Notion as a public help center?

You can publish Notion pages as a public site with Notion Sites, and for simple docs that works. What you do not get is help-center structure: no built-in categories and subcategories, no draft, published or private article states, no end-user search tuned for a knowledge base, and no widget you can embed in your own app. Publishing in Notion is a binary toggle on a page, so a real help-center information architecture is something you assemble and maintain by hand.

What does HelpCenter.io cost compared to Notion?

HelpCenter.io is flat per workspace: Bootstrap at $29/month, Growth at $119/month and Catalyst at $179/month, billed for the workspace rather than per person. Notion bills per member, per month, on every tier, and connecting a custom domain is billed separately per domain on top of those seats. If a few people maintain your help center while the whole company sits in Notion, you are comparing one flat price against a per-seat bill.

How do I move my Notion docs into HelpCenter.io?

Export, then hand it over. Notion exports pages as Markdown or HTML on every plan, and on Growth and Catalyst our team rebuilds your structure, articles and images in your branded help center for free, typically in under a week. You can keep drafting in Notion afterwards if that is where your team likes to write. Only the public surface moves.

Does Notion have an AI assistant for my customers?

Not for your customers. Notion AI helps the people writing the docs, with drafting, summaries and search across your workspace, and it is not exposed to visitors on a published Notion site. HelpCenter.io answers customer questions in natural language from your published articles, with AI Question Answering included on Catalyst and available as a $29/month add-on on Bootstrap and Growth, plus an AI Widget you can embed in your product on every plan.

Should I stop using Notion?

Probably not. Notion is genuinely excellent for internal documentation, drafting and collaboration, and plenty of teams write their help articles there first. The question is narrower than which tool is better. It is whether your customer-facing help center should live in a general workspace tool or in a product built for that job. Keep Notion for the work that happens inside your company, and publish the public surface somewhere designed for customers.
